Step One:
You will need to delete all of the obvious spam in your proposals once the student proposal window has closed on Friday, April 9. Here's some examples:
Is Spam: "Buy viabla at this online retailer," "I'm trying to work on this specific project for an org that isn't participating in GSoC this year" Is Not Spam: "I want to fix your javascript issues with ponies and unicorns," "I'd like to use visual basic to help you out with your python project idea that I haven't talked to you at all about." (This is not spam, these are just confused people.)
Please do not delete proposals that are not spam as the allocations algorithm is based on popularity of each org where popularity is determined by number of proposals submitted in total. Please *do* delete apps that are obviously spam or off-topic as outlined above. This needs to be done between Friday, April 9 (after 19:00 UTC, obviously) and Monday, April 12.
Step Two:
I will figure out the number of student allocations each org will get on Tuesday, April 13. As in years past, we will allow orgs to give up slots to the pool and we will allow orgs to get on a waitlist for these slots. These exchanges will need to happen between Tuesday, April 13 and Thursday, April 15 and I will repost new allocations to the list as the process proceeds. Please email me offlist on or before April 13 if you fall into one of the aforementioned categories and I will try to accommodate you. Please note, of course, that I make no promises to any org about their slot allocations.
Step Three:
Once slot allocations are decided for each org, you will need to rank your students in order of preference in Melange for each of the N slots that have been allocated to you. This needs to be done ASAP once slot allocations are done because we immediately start deduplication once that process is complete. Please do this initial prioritization between Friday, April 16 and Sunday, April 18.
Step Four:
I will run the initial calculation to see what orgs have duplicate accepted students on Monday, April 19. I will publish this list to all of you, and at this point orgs may email with each other (org admins will have each other's contact information viewable in Melange) to discuss the situation and see if it can be resolved. It is recommended but not required that you speak to the students and go with their opinion as to which org they wants to work with, but as they applied to both (or more) then they were stating that they would work with any of the orgs and therefore would be fine with your decision. All students in your top N slots will need to be assigned to a mentor by the end of this process as well. All student ranking and scoring must be done by Wednesday, April 21 at 17:00 UTC.
Step Five:
You will need to attend the deduplication IRC meeting on Wednesday, April 21 at 19:00 UTC (Noon in California). Even if you are one of the lucky orgs to not have any duplicates with a fellow org immediately preceding the meeting, you are still required to have someone(s)[1] attend the meeting who can make a quick decision on your behalf when and if our playing around with the system happens to put you in a duplicate situation. This IRC meeting is the last point at which student decisions can be made, so please know your preferences when you go into it. The decisions made in this meeting are final.
Step Six:
Please do not discuss acceptance or rejection with the students until I have announced it on Monday, April 26. We don't know what strange things could happen between the IRC meeting and our announcement.
